AI Agent vs Chatbot: What Actually Changes Inside a Business

“We need an AI agent” is becoming the new “we need a chatbot.”

They are not the same.

Chatbots

Chatbots are good at:

  • FAQ answers
  • Deflecting simple support volume
  • Guided menus

They usually do not update CRM stages, match purchase orders, or orchestrate finance exceptions.

Business agents

A business agent is designed around a process:

Sales: WhatsApp enquiry → intent → qualify → CRM → quotation → follow-up → human approval

Finance: Invoice → extract → validate → match PO → ERP → flag exceptions → human approval

Operations: Order → inventory → supplier → dispatch → notify → report

The outcome is not a clever reply. The outcome is work moved correctly between systems.

Where AI should not run alone

If a wrong automated decision creates legal, safety or irreversible financial risk, keep a human in the loop. Good automation removes busywork so people can use judgment—not replace it.
